Practice Policy

Last updated: 28.05.2026

Welcome!

Before we begin, please take a moment to read through the information below, which outlines how I work, what you can expect from our sessions, and how your information is cared for. By booking a session, you indicate your agreement with this Practice Policy. Before we begin working together, you will also be asked to confirm this in writing as part of the intake process.

1. The Therapeutic Process

Therapy is a space for exploration and awareness. Sometimes this will feel supportive and insightful, at other times, it can be challenging and bring up some uncomfortable feelings. These moments are part of our work together, and we can explore them at your own pace.

2. Professional Framework, Membership & Ethics

I offer psychological counselling and Gestalt therapy as a NIP-registered Psychologist (MSc) and Gestalt therapist in training. My services are not intended as medical or psychiatric treatment or a substitute for these, and I do not provide diagnostic assessments. Sessions are not reimbursed by health insurance.

As a member of the Nederlands Instituut van Psychologen (NIP), I also adhere to the NIP Code of Professional Ethics.

3. Confidentiality

What you share in sessions is confidential. The only exceptions are if there is a serious risk of harm to yourself or others, or if disclosure is required by law. If a disclosure ever becomes necessary, I will do my best to discuss it with you beforehand.

4. Date Protection & GDPR

As part of the therapeutic process, I keep a confidential client file with the information I need to offer you this service, including:

  • Your contact details (name, phone, email) so I can reach you between sessions if needed.

  • Invoicing information, including your name, address, service details, session dates, and fees.

  • I also keep brief session notes for my own reference and reflection.

Personal data is stored and processed using secure third-party platforms (e.g. for video sessions, communication, and record-keeping). These platforms have been selected with attention to privacy and data protection standards.
As part of being GDPR compliant, you have the right to view, correct, or request the deletion of your personal data, and to withdraw the permission you granted regarding the use of your data. Requests can be made in writing to me at hello@kimvassallo.com.
Client files are retained for a minimum of 15 years after the end of our work together, in accordance with Dutch healthcare law (WGBO).

5. Supervision & Intervision

As a Gestalt therapist trainee at the Nederlandse Stichting Gestalt (NSG), I take part in regular professional supervision and intervision. These spaces support my reflection, learning and the quality and safety of my work and the support I offer. When client work is discussed, this is done anonymously.

6. Communication & Availability

I prefer contact by email at hello@kimvassallo.com, and will aim to respond within 48 hours.

Please be mindful of the personal information you share by email. Where possible, it is preferable to save sensitive topics for our sessions or, if needed, a phone call.

7. Emergencies

Please note that this practice is not a crisis service. If you need urgent support, please contact your GP (huisarts) or the Huisartsenspoedpost (outside your GP’s office hours), or emergency services (112 in the Netherlands).
Other support resources in the Netherlands:

  • Suicide Prevention: call 113 or use the online chat (24/7)

  • De Luisterlijn: call 088 076 7000 or use the online chat (24/7)

  • Veilig Thuis: (if you or someone you know is a victim of domestic violence or child abuse/neglect): call 0800 2000 (24/7)

  • Slachtofferhulp: if you have been the victim of a crime or abuse, call 0900 0101 (Mon–Fri 8am–8pm, Sat 10am–5pm)

8. Cancellation Policy

Please provide at least 48 hours’ notice if you need to cancel or reschedule a session. With less notice than this (unless there are exceptional circumstances), the full session fee will be charged.

9. Complaints Procedure

Your experience of our work together matters to me, and I aim to provide support that feels professional, respectful and responsive to your needs. If at any point you feel dissatisfied with any aspect of our work, I encourage you to raise this with me directly. Feedback is always welcome and we can explore together how to best address your concerns.

If you would prefer to make a formal complaint, or if we are unable to resolve the matter together, you have the right to contact the independent complaints officer:

Centraal Bureau Klachtenmanagement in de Zorg (CBKZ) by sending this form to them by email: klachten@cbkz.nl

10. Payment

Sessions are invoiced at the end of each month. Payment is made via bank transfer and is kindly requested within 14 days of receiving the invoice.

If you have any questions, please reach out and thank you for trusting me to be part of your process.

Kim Vassallo
