Practice Policy

Welcome!

Before we begin, please take a moment to read through the information below, which outlines how I work, what you can expect from our sessions, and how your information is cared for. By booking a session, you indicate your agreement with this Practice Policy. Before we begin working together, you will also be asked to confirm this in writing as part of the intake process.

1. The Therapeutic Process

Therapy is a space for exploration and awareness. Sometimes this will feel supportive and insightful, at other times, it can be challenging and bring up some uncomfortable feelings. These moments are part of our work together, and we can explore them at your own pace.

2. Professional Framework

I offer Gestalt therapy and psychological counselling as a Gestalt Therapist trainee and Psychologist Msc. My work is not part of the Dutch GGZ system and is not intended as medical or psychiatric treatment. I do not provide diagnoses, and services are not reimbursed by health insurance.

3. Ethics

I follow the European Association for Gestalt Therapy (EAGT) Code of Ethics, which guides me to practice in a responsible, safe and professional manner.

4. Confidentiality

What you share in sessions is confidential. The only exceptions are if there is a serious risk of harm to yourself or others, or if disclosure is required by law. If a disclosure ever becomes necessary, I will do my best to discuss it with you beforehand.

5. Date Protection & GDPR

As part of the therapeutic process, I keep a confidential client file with the information I need to offer you this service, including:

  • Your contact details (name, phone, email) so I can reach you between sessions if needed.

  • Invoicing information, including your name, address, service details, session dates, and fees.

  • I also keep brief session notes for my own reference and reflection.

Personal data is stored and processed using secure third-party platforms (e.g. for video sessions, communication, and record-keeping). These platforms have been selected with attention to privacy and data protection standards.
As part of being GDPR compliant, you have the right to view, correct, or request the deletion of your personal data, and to withdraw the permission you granted regarding the use of your data. Requests can be made in writing to me at hello@kimvassallo.com.

6. Supervision & Intervision

As a Gestalt therapist trainee at the Nederlandse Stichting Gestalt (NSG), I take part in regular professional supervision and intervision. These spaces support my reflection, learning and the quality and safety of my work and the support I offer. When client work is discussed, this is done anonymously.

7. Communication, Availability & Emergencies

Between sessions, you can reach me by email (hello@kimvassallo.com), and I will aim to get back to you within 48 hours. Please note that this practice is not a crisis service. If you need urgent support, please get in touch with your GP (family doctor), emergency services (112 in the Netherlands), or a local crisis helpline such as in the Netherlands:

Worldwide: The International Association for Suicide Prevention (IASP) provides confidential crisis support through local helplines.

8. Cancellation Policy

Please provide at least 48 hours’ notice if you need to cancel or reschedule a session. With less notice than this (unless there are exceptional circumstances), the full session fee will be charged.

9. Payment

Sessions are invoiced at the end of each month. Payment is made via bank transfer and is kindly requested within 14 days of receiving the invoice.
